A.G.M. MINUTES
Held on: Wednesday 9th September 2009 Edinburgh Hall. Time : 7.45pm
Apologies for Absence : Stefan Dimic, Eric & Christine Rogers, Gabby Sharp, Alison Dawes, Prue Szczepanowski. 27 ATTENDED

1. Welcome by Chairman who then did a wonderful presentation and commentary of ‘Our Gardening Club Year in Pictures’.
2. Programme Secretary: Annie Brooker went through our PROGRAMME FOR 2009/10
· Matters arising: Annie resigned and explained the job of PROGRAMME SECRETARY and asked for a volunteer to prepare 2010/11 programme. Mike Hall proposed Shona Levy, who was accepted and will join the Committee.
There were no other volunteers.
· Annie was presented with a pyracantha plant and a card to thank her for her hard work.
3. Chairman’s Report and thanks: Matt congratulated the club on another very successful year with so many wonderful events which enhance the life of the village, getting us all together to enjoy the community spirit and environment. We have had an excellent balance of meetings and the new programme looks to be very exciting and gives us much to look forward to. He has been very grateful for the hard work of both the Committee and volunteers without which none of it would have been possible. He has felt it an honour to be Chairman and mentioned all the committee members by name and thanked them all for their guidance and support. Also for doing their allotted tasks so well over the year.
He thanked all the members for their support and efforts on behalf of the Club and for the donations of raffle prizes and
cakes and for doing refreshments etc.
· Matters arising: Need new WEBSITE MANAGER: Wendy Carr volunteered and was accepted and proposed for the Committee. There were no other volunteers.
· Need new volunteer for TEAS & REFRESHMENTS at each indoor meeting: Patsy Peachey volunteered and was accepted.
· Overall results of GARDEN PRIDE Competition : Joint 3rd : Jill de Ruyter & Sue Cunningham, 2nd : Patsy Peachey, Congratulations & presentation of £10 to winner: Cathy Buckledee
· Members were asked to vote for Club Member of the year at coffee time.
4. Treasurer’s Report. This was given by Ed as Prue was unwell. He issued and explained the accounts which were accepted with no queries by the membership. The accounts were duly adopted and signed.
· Funds as at previous AGM: £2384.03. Income £3,088.67. Expenses to date £3,101.50. BALANCE : £2,371.20
· Matters arising: Recommendation for subscriptions £6, accepted.
· Club finances are healthy and enable us to provide a varied and interesting programme, we must remember that the fund raising efforts of the Horn Fair etc. are vital and we must continue to give them our wholehearted support.
5. Secretary’s Report: Jane reflected on a busy year, especially evident was the way in which the whole club has pulled together this year, making it very enjoyable and successful. She gave her thanks to ALL for their contributions.
· The minutes of the AGM held on September 10th ,2008 were approved by the membership & signed by the Chairman.
· Matters arising: With those who were willing to stand from the present Committee: Matt, Mike, Prue, Sue Jane & Ed; and with the addition of Shona and Wendy and no other volunteers this makes an ideal 8 to stand for the Committee for 2009/10.
6. President: John Unsworth took the floor and the Committee was asked to officially stand down.
· He expressed his thanks to everyone on the Committee for their dedication and hard work, especially to Annie Brooker who has stood down from the Committee and has given us such pleasure with the variety in the Programmes over the last 2 years.
· He then announced the names of the new Committee and requested them to take over for the Year 2009 to 2010.

1. Club Person of the Year: was awarded to Jane Dalton by Matt who congratulated her on another year’s effort on behalf of the Club.
2. A.O.B:
· Jane suggested an OPEN VILLAGE GARDEN MORNING as an event for the Flower Show to feed off and asked the
membership for their comments. It was agreed that Cees would contact Louise and Geoff who organised the Open Garden event
on behalf of the ‘In Touch’ in the past.
· Jane also informed the membership of the £50 grant given to the Club from Breckland Pride, which will be spent on bulbs in the next week and asked for volunteers to take the tubs on. There were none, other than those who already do them. She will ask if there are any volunteers from the village, in the In Touch column. Maybe it could be a competition?

5. Next Meeting: Very important! Very lucky to get him at ½ price, but still expensive for us at £450!
OCTOBER 14th TIME 8pm :Celebrity Gardener, BOB FLOWERDEW, ‘No work Gardening’ & Book signing.
We need your support… TICKETS £5 to members, £8 guests. Need to sell 100 tickets! Ask friends.
There will be refreshments, wine and soft drinks... anyone else with glasses available to loan?
*Members asked to bring a raffle prize and something for FINGER BUFFET to keep costs down.
· Don’t forget flower competition entries…will be judged by Bob Flowerdew in October!
· SUNDAY NOVEMBER 1st : HALLOWEEN, PUMPKIN COMPETITION: Biggest grown Best decorated pumpkins and
Children’s fancy dress. Please support… bring a cake for teas. A lovely, traditional, annual village event.
7. Date for next Committee Meeting: To be decided, but before Oct 14th
8. Matt thanked everyone for coming and closed the meeting at 10pm.
